Welcome to Authenti! This Privacy Policy explains how Authenti (“Authenti,” “we,” “us,” or “our”) collects, uses, discloses, and protects information about you when you use our embeddable chat service (the “Service”).

By using the Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

We collect information in the following ways:

Information You Provide to Us (Our Users – Website Owners):

  • Account Information: When you register for an Authenti account, we collect information such as your name, email address, company name, and password. This information is used to create and manage your account, provide you with customer support, and communicate with you about the Service.
  • Configuration Data: Information you provide to customize the chat widget, such as display names or status messages.

Information Processed on Your Behalf (End-Users of Your Website):

  • Chat Content: When visitors to your website (“End-Users”) use the Authenti chat widget embedded on your site, the content of their conversations with you (including text messages and any information they voluntarily provide, such as their name or contact details if they use the offline form) is transmitted through our Service. We process this data on your behalf as a data processor. You, the User, are the data controller for this End-User data.
  • Contact Information (Offline Form): If an End-User uses the offline contact form, we collect the information they submit (e.g., name, email, phone number, message) on your behalf.

Automatically Collected Information:

  • Usage Data: We may collect information about how the Service is accessed and used (e.g., IP addresses, browser type, operating system, referring URLs, pages viewed, and access times). This data is used for service analytics, monitoring, and improvement.
  • Cookies and Similar Technologies: We may use cookies and similar tracking technologies to track activity on our Service and hold certain information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service.
  • End-User IP Addresses for Security: We collect End-Users’ IP addresses for the sole purpose of enabling you, the User, to enforce your terms and policies by banning non-compliant End-Users from the chat service. This information is not visible to you, is not shared with third parties, and is not used for any other purpose.

2. How We Use Your Information

We use the information we collect for various purposes:

To Provide and Maintain Our Service:

  • To allow you to set up and manage your chat widget.
  • To facilitate real-time chat and offline message collection between you and your End-Users.

To Manage Your Account:

  • To communicate with you about your account, updates to the Service, and support inquiries.

To Improve Our Service:

  • To understand how our Users and End-Users interact with the Service to improve its functionality and user experience.
  • To monitor the performance and security of the Service.

For Security and Compliance:

  • To enable our Users to maintain a safe environment on their websites, we collect End-User IP addresses. This allows a User to ban a specific End-User if they do not comply with the User’s terms and policies. We do not expose or share this IP address with the User or any third party.

For Billing and Subscription Management:

  • As detailed below, payment processing is handled by Paddle. We use your account information to manage your subscription status.

To Comply with Legal Obligations.

We do not sell your personal information or the personal information of your End-Users to third parties. We respect our customers’ privacy.

3. Data Retention and Deletion

User Account Information (Your Credentials): We will store your login credentials (email address, company name, hashed password) and other account-related information for as long as your account is active and as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. You may request the deletion of your account information by contacting us at contact@authenti.chat

Chat Records and End-User Information (Processed on Your Behalf):

  • Active Users: For registered Users with an active subscription or trial, we keep records of chats and End-User information collected through the chat widget for up to one (1) year from the date of collection, or for the duration of your active subscription, whichever is longer, to enable you to access historical data.
  • Inactive Accounts (Cancellation/Non-Payment): If you cancel your subscription, your subscription lapses due to non-payment, or your account is otherwise terminated, we reserve the right to retain chat records and End-User information associated with your account for a period of up to ninety (90) days after the termination or lapse.
  • Deletion Post-Retention Period: After this ninety (90) day period for inactive accounts, all chat content and specific End-User contact information collected through the chat widget associated with your account will be permanently deleted from our primary storage systems, in accordance with our data deletion schedules. Anonymized or aggregated data may be retained for analytical purposes.

4. Data Security

We take the security of your data and your End-Users’ data seriously. We implement reasonable administrative, technical, and physical security measures designed to protect the information we collect and process from unauthorized access, use, alteration, and destruction. However, please be aware that no method of transmission over the Internet or method of electronic storage is 100% secure, and we cannot guarantee its absolute security.

5. Sharing and Disclosure of Information

We do not share your personal information or End-User data with third parties except in the following circumstances:

  • Service Providers: We may employ third-party companies and individuals to facilitate our Service (e.g., hosting, analytics, customer support). These third parties have access to your information only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose.
  • Payment Processing (Paddle): As mentioned in our Terms and Conditions, all payment processing and subscription management are handled by Paddle.com. When you subscribe, you provide your payment information directly to Paddle. Paddle has its own privacy policy that governs its collection and use of your information, and we encourage you to review it.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court or a government agency).
  • Protection of Rights: We may disclose information where we believe it is necessary to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of our Terms and Conditions, or as otherwise required by law.
  • Business Transfers: If Authenti is involved in a merger, acquisition, or asset sale, your Personal Information may be transferred. We will provide notice before your Personal Information is transferred and becomes subject to a different Privacy Policy.

6. Your Data Protection Rights

Depending on your location and applicable law, you may have certain rights regarding your personal information, including:

  • The right to access, update, or delete the information we have on you.

Our Service is not directed to individuals under the age of 13 (or a higher age threshold as required by applicable law). We do not knowingly collect personally identifiable information from children. If you are a parent or guardian and you are aware that your child has provided us with Personal Information, please contact us. If we become aware that we have collected Personal Information from children without verification of parental consent, we take steps to remove that information from our servers.

8. International Data Transfers

Your information, including Personal Data, may be transferred to — and maintained on — computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those of your jurisdiction.
